Our organization is planning to merge two Microsoft 365 tenants after a business restructuring, and we're trying to design a migration strategy that minimizes risk. The migration isn't limited to email—we also need to transfer SharePoint Online sites, OneDrive for Business accounts, and user mailboxes while maintaining permissions, metadata, document versions, and folder structures.
One issue we're debating internally is whether to migrate everything over a single weekend or perform the project in phases using incremental synchronization. Several departments continue working around the clock, so extended downtime isn't really an option. Compliance is another major concern because every migrated mailbox and document library needs to be fully traceable through migration reports.
During my research, I found the DRS Softech Office 365 Tenant to Tenant Migration Tool through Google while comparing enterprise migration solutions. It appears to support Modern Authentication, Microsoft Graph API connectivity, mailbox and site mapping, duplicate handling, filtering options, and real-time monitoring. Those capabilities sound useful, but I'd like to know how they perform in real production environments rather than just reading product documentation.
Another challenge involves departments that were renamed after the merger, meaning user accounts don't always match between the source and destination tenants. Managing these mapping scenarios manually could become very time-consuming.
For anyone who has completed an O365 tenant to tenant migration, what worked best for your organization? How did you validate migrated data, monitor progress, and ensure that last-minute mailbox or SharePoint changes were included before the final cutover? Any recommendations or lessons learned would be extremely valuable before we finalize our migration plan.
