What's the Safest Way to Keep an Offline Copy of My Webmail Emails?

I'm trying to become more careful about protecting my email data because almost every important document I receive is stored in my mailbox. Bank statements, client conversations, purchase receipts, and personal records are all sitting in my Gmail account. Recently, a friend temporarily lost access to his email account after a security issue, and that made me realize how risky it is to depend entirely on cloud storage. Since then, I've been searching for a reliable way to create an offline backup that I can access anytime.

During my research, I found DRS Softech Webmail Backup Tool, and it seemed to cover almost everything I was looking for. Since the demo version allows backing up up to 50 emails per folder, I was able to test the entire workflow before deciding whether to purchase it. The safest way is to create a local backup of your webmail emails and not just rely on the mail server. I learned this when I almost lost access to an old mailbox due to syncing issues with my account.

If you have only a few emails, you can export them manually if your email provider enables this. But this is not practical for large mailboxes or regular backups.

For continuous security, I prefer to use tools like DataVare IMAP Backup Tool. This software allows me to access IMAP compatible email accounts and back up emails on my local computer, thus ensuring that I will have a backup of my emails even if my server is not accessible.

My suggestion is to schedule regular backups and verify the saved files occasionally so your offline copy is always up to date.
