I have a PST archive containing project discussions, approvals, and client communications from several years ago. A colleague needs access to some of these emails, but they don't use Outlook and can't open PST files directly.
My first thought was to export individual emails, but there are hundreds of messages involved. That's when I started looking for ways to Convert PST File to PDF so the emails could be viewed on any computer without requiring Outlook.
The manual approach seems straightforward if you only have a few emails. Open the message in Outlook, print it to PDF, and save it. However, this becomes extremely tedious when dealing with large folders. There's also the risk of overlooking important emails during the process.
While researching, I found references to the DRS Softech PST Converter Tool, which apparently supports bulk conversion and preserves email details such as sender information, timestamps, and folder hierarchy. For large mailboxes, that seems far more efficient than manually exporting each email.
Has anyone here needed to share Outlook email archives with non-Outlook users? What method did you use, and did it preserve all important information correctly?
